  • Payment information: We do not store payment card details. All payment processing is handled by Stripe, Inc. We receive only a Stripe customer ID and subscription ID.
  • Communications: Messages you send us via the contact form or email

Information generated through our services:

  • Documents: Scanned copies of legal and government documents received at your registered agent address on your behalf
  • Portal activity: Dates and times you log in and view documents
  • Email logs: Records of transactional emails sent to your account

Information collected automatically:

  • Log data: IP address, browser type, pages visited, and timestamps when you access our website. This is standard server logging and is not used for advertising or tracking.
  • Cookies: We use session cookies to keep you logged in to your client portal. We do not use advertising cookies or third-party tracking cookies.

2. How We Use Your Information

We use your information only to operate and improve our services:

  • Create and manage your client account
  • Accept and forward legal and government documents on your behalf as your registered agent
  • Send you transactional email notifications (document alerts, account notices, renewal reminders)
  • Process payments via Stripe
  • File required forms with the Texas Secretary of State
  • Respond to your inquiries and support requests
  • Comply with applicable legal obligations
  • Improve and secure our website and services

We do not use your information for advertising, behavioral profiling, or any purpose unrelated to delivering the services you subscribed for.

3. How We Share Your Information

We do not sell, rent, or trade your personal information. We share information only in the following limited circumstances:

  • Service providers: We use Stripe for payment processing and Brevo for transactional email delivery. These providers access only the information necessary to perform their functions and are bound by their own privacy policies. They are not authorized to use your information for any other purpose.
  • Texas Secretary of State: We file Form 401 with the Texas SOS identifying us as your registered agent. This is a public filing. We do not submit your personal contact information to the SOS — only your entity name and our address.
  • Legal obligation: We may disclose information if required by a valid court order, subpoena, or applicable law, or to protect our legal rights.
  • Business transfer: If Longhorn Agent LLC is sold or merged, your information may be transferred as part of that transaction. You will be notified in advance and may cancel if you prefer.

4. Document Storage and Security

Documents scanned and uploaded on your behalf are stored on our secure server in a directory that is not publicly accessible via the web. Access requires authenticated login to your client portal. Documents are retained for the duration of your active subscription and for a reasonable period thereafter in case of disputes.

We use industry-standard security practices including encrypted HTTPS connections, password hashing (bcrypt), and access controls. No security system is perfect — if you suspect a breach involving your account, contact us immediately at [email protected].

5. Data Retention

We retain your account information and documents for as long as your subscription is active and for up to 3 years after termination, in case of legal disputes or compliance inquiries. You may request earlier deletion by contacting us — we will honor requests where retention is not required by law.

6. Your Rights and Choices

  • Access and correction: Log in to your client portal to view and update your account information at any time.
  • Cancellation: You may cancel your subscription and request account closure at any time through your portal.
  • Email preferences: Transactional emails (document alerts, payment notices) are necessary for the operation of our service and cannot be disabled while your subscription is active.
  • Data requests: Contact us to request a copy of your personal data or to ask questions about how your data is used.

7. Children's Privacy

Our services are intended for business use by adults. We do not knowingly collect personal information from anyone under the age of 18. If you believe we have inadvertently collected such information, please contact us for prompt deletion.
